If you want to update the Employee’s Username or Login name, here's what you can do
1. Input the Employee Name or the Employee ID number in the Employee Search field.
2. On the Employee Profile, go to the Access Level tab/section and enter the new login name of the employee.
3. Click Save.
Once done, you’ll receive a notification that the profile has been successfully updated.
Reminders:
- The change of Username can only be done via the Employee Profile.
- If you'd like the employee to use their old username once more, you can change it back on the profile of the employee.
- The system has a username validation functionality to ensure that no employees have the same username. If the username or login name inputted is already existing, an error prompt "Username already exists" will appear after you save the profile because it won't accept duplicate usernames.
- The maximum number of characters that can be placed in the username (including spaces) is 255.
Now, if in case there will be employees with the same First Letter of First Name and Last name, you'll need to make sure to create unique usernames for them.
Example:
- There is an existing employee in the system with the name of John Cruz (Username is JCruz)
- If you will add another employee with the name of Jamie Cruz, you may use a different username e.g. JCruz1.
