In this article, we will discuss each policy when filing Schedule Adjustment (SA) in Sprout HR. This would help you configure the best policies that can be applied when employees are filing their SA.
Here are the filing policies of SA and possible errors you may encounter when enabling/disabling each policy:
1. Enable Schedule Adjustment
- This enables the company to use the Schedule Adjustment application
- Schedule Adjustment may still appear in My Requests/My Stuff if enabled via Access Level (Navigation Access), but if this policy is disabled, the system will prompt an error:
2. Tracking of Days Filing
- This sets the basis of the counting days from an SA application whether it's Working Days or Calendar Days count
- Working Days exclude Rest Days, Holidays, and Working Rest Days and Working Holidays; Calendar Days include Rest Days and Holidays
3. Late Filing Days
- This sets the number of days when an employee can apply for a Schedule Adjustment application after its exact schedule. Employees can either file anytime or set a number of days they can file later than the actual date of the SA
- When filing for a long date range, the end date of the SA would be the basis of late filing.
Sample: Late Filing: 3 days
Employees can no longer file their SA 3 days after the actual last date of their SA. If the policy is not met, an error below will appear when filing SA:
4. Advanced Filing Days
- This sets the number of days when an employee can apply for a Schedule Adjustment application before its exact schedule. Employees can either file anytime or set a number of days they can file in advance
- When filing for a long date range, the start date is the basis of the policy
Sample: Advance Filing: 2 days
Employees can only file their SA 2 days before the actual start date of their SA. If the employee filed less than 2 days from the exact date of his SA, this error would occur:
- If both Late and Advance filing policies are disabled, this error would occur if filing for any dates other than the current date:
5. Maximum Days of SA
- This sets the maximum days of SA per application. This is based on calendar days regardless if a Working Day is enabled in the Tracking of Days policy
- The employee can select a date range based on the number of Maximum Days they can file. If not met, the SA application will prompt an error. See the sample below:
Sample: Maximum days that can be filed: 5
6. Minimum Days of SA
- This sets the minimum days of SA per application. This is based on calendar days regardless if Working Day is enabled in the Tracking of Days policy
- The employee is restricted from filing for SA based on the minimum days required. If not met, SA will prompt an error.

7. Allow SA less than the required hours to work
- This would allow the employees to file their SA less than the required hours to work. This is applicable to Ordinary days only for Normal Shift.
For example, based on the Work Schedule, he's required to work 9 hours including break. However, he's trying to file a Schedule Adjustment with a shift less than the required hours:
If this policy is disabled, the employee will not be able to proceed with their SA:
- Take note that during Rest Day, Holiday, or Rest Day and Holiday, employees are allowed to file their SA less than the required hours to work regardless if this policy is enabled/disabled.
Changing any policy has no additional cost! Should you wish to change any policies, feel free to submit a Change Request Form.
Just take note that any changes in the filing policy would take effect at the time of request and moving forward (Date Tagging: Company Policy)
