Scheduling Courses or Exams in the Learning Management System (LMS)

Scheduling Courses or Exams Help for Administrators. Add and maintain courses and exams.

When you schedule a course, you have the option of scheduling the corresponding exam at the same time, and vice versa.

You cannot schedule multiple classroom courses at one time because each classroom course must be scheduled for a specific date and location.

To schedule courses or exams, do the following:

• Select Schedules from the Admin menu. The list of scheduled courses appears.

• Click Schedule on the toolbar. The New Course Schedule(s) screen appears.

• In Schedule Options Step 1, specify whether you are scheduling a course, exam, or an Inactive course/exam. (Use the ‘Inactive’ option to give an employee credit for a course they took some time ago, but which is now Inactive).

• Scheduling:

  • You can schedule a single employee for one or more courses.

  • You can schedule a group of employees for one of more courses or exams.

  • You can schedule multiple employees for a single course or exam.

Schedule a single employee for one or more courses or exams:

• In Step 2, specify that you want to schedule the courses or exams by Employee Name.

• In Step 3, select the employee’s name.

Complete the following fields:

• Date Assigned – The current date will automatically be entered in this field.

• Date Required – Specify the date for the employee to complete the courses/exams.

• Date Completed –Manually enter completion dates for classroom courses and external courses and exams.

• Score –Manually enter results of an external exam.

• Course/Exam Details – To schedule the coordinating courses or exams, select this checkbox, then enter the Date Assigned, the Date Required.

• Overwrite Options – Specify whether the employee’s previous schedule will be overwritten (replaced) with a new schedule:

  • No Overwrites – TLC will not overwrite a previous schedule if the course/exam has already been assigned to an employee.

  • Overwrite Incomplete – TLC will overwrite a previous schedule if the employee has not yet completed the course/exam.

  • Overwrite Incomplete or Failed – TLC will overwrite a previous schedule if the employee has not yet completed or has failed the course/exam.

  • Overwrite All – TLC will overwrite all previous course or exam schedules, regardless of whether the employee successfully completed the course. Note that if you use this option when reassigning an annual compliance course, you will want to export the previous years’ results to show to regulators.

• • Filter on Categories – Select to only display courses/exams within a specific category.

  • Filter by Training Plan – Select to only display courses/exams within the employee’s training plan.

  • Assign Courses/Exams to this Employee – If needed, use the Filter Options to reduce the number of courses/exams displayed.

• Available Course/Exam, Assigned Course/Exam – Move the courses/exams you want to assign to the employee from the Available pane to the Assigned pane.

• If a course/exam is displayed in red, the employee has already been assigned the course or exam. Hover your cursor over the red text to see a completion date and an exam score (where applicable). Use this to determine whether to schedule the course or exam or use the Overwrite Options if you do not want to overwrite completed course or exam schedules.

• Request – This checkbox has different uses, depending on who is scheduling the employee:

  • Managers can select this checkbox to request that an employee be considered for registration in a course/exam (managers must have appropriate TLC permissions to access this feature).

  • Training administrators can select this checkbox as a means of scheduling an employee for a course/exam, but not approving it until the request box is unchecked. This can be used, for example, if a classroom course is full, but the administrator wants to maintain a waiting list, in case space becomes available.

  • If an employee has requested a course, the box will already be selected.

• Click Update to schedule the courses/exams.

Note: You can also schedule a group of employees for one of more courses or exams or schedule multiple employees for a single course or exam.
