Employee Viewing under Access Levels determines the type of employee a certain user can view when logged in to his/her Sprout profile. With Sprout HR, employees can be allowed to view or be restricted from viewing attendance reports and other profile information from other people in their department. This helps protect one's data privacy and allows managers and administrators access to certain information they may need about someone who directly reports to them.
The viewable sections include the employee profile/s and different reports which they have access to.
To explain each option in Employee Viewing, here is a chart as an example:
1. Self Only
- The user can only view his/her own profile.
2. Direct Reports
- The user can view only those employees reporting directly to him/her.
- Based on the example above, those at the Red Level will be able to view only those who are directly reporting to him (same company), which are the Blue Levels. Hence, he will not be able to view the Orange and Green Levels.
3. Company
- The user can view all employees of the company where he/she belongs.
- Based on the example above, those at the Red Level will be able to view all levels (Red, Blue, Orange, and Green) under the same company.
4. Specific Employee Level
a. All Levels
- The user can view all employees regardless of employee level.
- Based on the example above, those at the Red Level will be able to view all levels (Red, Blue, Orange, and Green) of any company.
b. Up to Manager Level
- The user can view all employees whose Employee Type is either Rank and File or Manager.
- Based on the example above, those at the Red Level will be able to view Orange and Green Levels of any company.
c. Rank and File
- The user can view all employees whose Employee Type is Rank and File.
- Based on the example above, those at the Red Level will be able to view Green Levels of any company.
5. Direct and Line Reports
- The user can view those employees reporting directly to him/her and all employees under them.
- Based on the example above, the Red Level will be able to view the Blue Levels and all under these levels (same company), which are the Orange and Green Levels.
6. All
- The user can view all employees of all companies.
- Based on the example above, those at the Red Level will be able to view all levels (Red, Blue, Orange, and Green) of any company.
