When setting up the approval levels under the Maintenance tab, there are three options to choose from: 1) Follow Reports to, 2) Follow Org Chart, and 3) Specific Person. Let's take a closer look and understand the differences among these three and how you can activate the best option for your company.
1. Follow Reports to
- Level 1 is automatically fixed as “Follow reports to” .
- This means that whoever is set on “Reports To” field under Work Information of the employee profile will be the 1st approver.
2. Follow Org Chart
- This can be selected for Level 2 onwards.
- For instance, Employee A reports to Manager B and Manager B reports to Officer C. There are 2 levels of approval and Level 2 is set as Follow Org Chart. Because of this, the applications of Employee A will be pending with Manager B first, then once approved, it will be pending with Officer C since based on organization chart, the immediate approver of Manager B (Level 1) is Officer C.
3. Specific Person
- This can be selected for Level 2 onwards.
- If an approval level is set as Specific Person, it will require you to indicate the name of that specific employee/manager. Hence, for the particular level where this has been set, the application will be pending with the specific person selected.
Moreover, you can set a specific level as “Notify Only” which means that the approver no longer needs to approve/reject the applications, but instead he will just be notified of any applications filed, approved or rejected.
However, note that this can only be set on the last level of approval.
