Employees on Flexible per Day schedule type only have their core hours indicated in their individual profiles. The start of their core hours indicates the latest time they can punch in while the core end indicates the earliest time they can log out. But what if they filed for a half day leave? Have you ever wondered how their core hours would reflect on the attendance report? Well, there is a formula to compute the half of the core hours, and it goes like such:
(Number of core hours inclusive of break/2) + (Break hours/2)
This can be explained further using the six scenarios we have below:
Example 1:
Half Day Leave |
First half of the day |
Core Hours |
9:00 AM - 1:00 PM (4 hours) |
Break Hours |
11:00 AM - 12:00 PM (1 hour) |
Using the formula:
= (4 hours / 2) + (1 hour/2)
= 2.5 hours
Count 2.5 hours from the Core Start = 11:30 AM
This will be the core start for the 2nd half.
Hence, the core hours for the second half - which will reflect on the attendance report will be 11:30 AM - 1:00 PM. This means that instead of the latest possible login at 9 AM, the employee can report for work right up to 11:30 AM.
Example 2:
Half Day Leave |
First half of the day |
Core Hours |
9:00 AM - 1:00 PM (4 hours) |
Break Hours |
11:00 AM - 11:30 AM (0.5 hour) |
Using the formula,
= (4 hours / 2) + (0.5 hour/2)
= 2.25 hours
Count 2.25 hours from the Core Start = 11:15 AM
This will be the core start for the 2nd half.
Hence, the core hours for the second half - which will reflect on the attendance report will be 11:15 AM - 1:00 PM. This means that instead of the latest possible login at 9 AM, the employee can report for work right up cto 11:15 AM.
Example 3:
Half Day Leave |
First half of the day |
Core Hours |
9:00 AM - 1:00 PM (4 hours) |
Break Hours |
11:00 AM - 11:00 AM (no break) |
Using the formula,
= (4 hours / 2) + (0 hour/2)
= 2 hours
Count 2 hours from the Core Start = 11:00 AM
This will be the core start for the 2nd half.
Hence, the core hours for the second half - which will reflect on the attendance report will be 11:00 AM - 1:00 PM. This means that instead of the latest possible login at 9 AM, the employee can report for work right up to 11:00 AM.
Example 4:
Half-day leave |
Second half of the day |
Core Hours |
9:00 AM - 1:00 PM (4 hours) |
Break Hours |
11:00 AM - 12:00 PM (1 hour) |
Using the formula,
= (4 hours / 2) + (1 hour/2)
= 2.5 hours
Count 2.5 hours from the Core End = 10:30 AM
This will be the core end of the 1st half.
Hence, the core hours for the first half - which will reflect on the attendance report will be 9:00 AM - 10:30 AM. This means that the employee can leave as early as 11:30 AM, instead of the usual 1:00 PM.
Example 5:
Half-day leave |
Second half of the day |
Core Hours |
9:00 AM - 1:00 PM (4 hours) |
Break Hours |
11:00 AM - 11:30 AM (0.5 hour) |
Using the formula,
= (4 hours / 2) + (0.5 hour/2)
= 2.25 hours
Count 2.25 hours from the Core Start = 10:15 AM
This will be the core end for the 1st half.
Hence, the core hours for the first half - which will reflect on the attendance report will be 9:00 AM - 10:15 AM. This means that the employee can leave as early as 11:15 AM, instead of the usual 1:00 PM.
Example 6:
Half-day leave |
Second half of the day |
Core Hours |
9:00 AM - 1:00 PM (4 hours) |
Break Hours |
11:00 AM - 11:00 AM (no break) |
Using the formula,
= (4 hours / 2) + (0 hour/2)
= 2 hours
Count 2 hours from the Core Start = 11:00 AM
This will be the core end of the 1st half.
Hence, the core hours for the first half - which will reflect on the attendance report will be 9:00 AM - 11:00 AM. This means that the employee can leave as early as 11:00 AM, instead of the usual 1:00 PM.
Please note that employee should still report to work within the half of their core hours so that they will not have late/undertime deduction. However, if the employee reported working outside the half of their core hours, he can file schedule adjustment for this and have it approved by his manager.
Additional Note:
- Half-day leave for Flexible per Day would not only adjust the core hours of the employee but also the total required hours of required work.
- For half-day leave, the total required hours (set in the Work Schedule tab of the Employee Profile) will be halved as well, exclusive of break.
- e.g. If total required hours to work is set to 9 (including break), when on half-day, they would only need to render 4 hours of work.
