Soon, the bulk upload template we have on Sprout HR, will be put in sync with Sprout Payroll for data consolidation! We will call this the Unified Bulk Upload Template.
The Unified Bulk Upload Template will be usable for both Sprout HR and Sprout Payroll. Since there are fields in Sprout HR that are not found in Sprout Payroll and vice-versa, the unified template will bring together all information from the two modules. Here are some things you have to know about this coming feature.
Downloading Bulk Upload Template - Currently, when an Admin downloads the Bulk Upload Template, sensitive employee information is masked. To view what was uploaded, users must go to the employees’ profiles or generate the list from the Employee List Report with granted access. With the coming update, Sprout has improved its security and flow of how admins can download the Bulk Upload Template and view its content. Here's how it will be done:
1. Downloading the Bulk Upload Template will now be done by clicking the “Click here to send template via email” link. A download link will be sent to your primary email registered in your Sprout HR profile.
2. Once the email is received, the user then has to click the download link.
3. Once the link is clicked, final confirmation will be needed for additional security to authenticate the person downloading the file. Only then will the download start. The downloaded template will no longer contain masked information since additional security measures are in place.
Basic information with all based on Sprout HR. These include the Name, Birthday, Address, and Contact information to name a few. Just like the Employee IDs, please make sure that these details are accurate.
Government and Salary Information will be based in Payroll. Since processing payroll and all government benefits are done on Sprout Payroll, we will be pulling all of the Government and Salary Information from there.
Bank details should only be uploaded in Sprout Payroll. For purposes of accuracy, the bank details for the Bulk Upload will only reflect on Sprout Payroll forthe meantime. On the next phase of syncing, the bank detail format for both modules will be uniform and synced.
New Column: Single Identifier. For our clients who have Sprout Payroll but without Sprout HR and vice versa, we have added a System Identifier column in the bulk upload template to define whether an employee only exists in Sprout HR, Sprout Payroll, or both modules. This column will be in a drop down form and and will contain these selections:
o Both = if employee exists for both HR and Payroll
o HR only = if employee exists only in HR
o Payroll only = if employee exists only in Payroll
TIP! This System Identifier column can be used for adding employees from one module to both modules. For employees who are only in one module and you wish to create an account for him/her to be present in both modules, you may choose the selection “Both” from the drop-down. This will create an account for the employee in the module where he/she did not have an account in.
Example:
Intern A has a Sprout HR account in order for his HR Manager to track his number of hours completed. However, Intern A has no Sprout Payroll account because he is not being paid through the payroll.
When the Unified Template is downloaded, it will have the details of Intern A in System Identifier column, tagged as “HR only”
If the HR manager wishes to update Intern A’s information via bulk upload, the HR Manager can edit the information in the template and keep the “HR only” tag.
If the HR manager suddenly decides to absorb and hire the intern, Intern A would need a Sprout Payroll account.
The admin user should then download the template and change Intern A’s System Identifier tag from “HR only” to “Both”.
When the HR Manager uploads the updated template in Sprout Payroll, Intern A will then be part of Sprout Payroll too.
