The Approval Center is one of the most utilized features on Sprout HR. For managers and supervisors, it is an essential tool used to prevent employees from incurring multiple schedule discrepancies. It also becomes handy when it comes to documentation, since it provides a record of all pending and processed applications.
Keep in mind, however, that the Approval Center has its limitations set by the system. If you're wondering why you can't view the processed requests of those directly reporting to you, there could be 2 reasons why.
1. You're not the 1st Level Approver
Please be reminded that only Level 1 Approvers can view the historical records of processed applications on the Approval Center. If an employee has two or more assigned Reports To, Level 2 Approvers and above can no longer view the application request of the employee as soon as it's been processed (or approved).
Example
- Approval Type: Parallel
- Approval Levels: 3 (Levels 1, 2, and, 3)
- Employee Juan applied for a vacation leave. Once the leave has been filed, all 3 approvers will see the application on their dashboards at the same time. Once the request has been approved by Level 1, it should be approved by Levels 2 and 3 as well in order for the application to be fully accepted. However, if Level 3 approves first, the leave gets approved automatically without having to wait for Levels 1 and 2.
- Once the leave has been fully accepted by the system, only Level 1 will see the details of the request on the Approval Center. Levels 2 and 3 will not have the same access.
2. Application Still Awaiting Approval from the Final Approver
A lot of attendance requests approvers have been wondering how come applications, once approved, suddenly disappear from their Approval Center. It's most likely because the request is still awaiting approval from other approvers. An application will only appear on the Processed section of the Approval Center once all approvers have responded to the request.
Example
- Approval Type: Sequential
- Approval Levels: 2 (Levels 1 and 2)
- Employee Juan applied for a vacation leave. Once the leave has been filed, it will immediately go to Level 1 for approval. Once the request has been approved by Level 1, it should be approved by Level 2 in order for the application to be fully accepted. Even though Level 1 already approved the application, it will not appear on the Processed tab of his Approval Center unless Level 1 processes the request on his end.
