There are two ways on how you can add employees to Sprout HR. You may add employees via the Sprout HR Template, or via Administration Tools. Please note that if your account is already synced, once you add employees in Sprout HR, a counterpart profile will also be automatically added in Sprout Payroll.
The best practice here is before adding an employee, you must ensure that the Department and Location where the new employee will be assigned is already synced to Sprout Payroll. If you are unsure about this, you may send us an email at experts@sprout.ph so we can check for you.
If you are certain that the Department and Location are not yet synced to payroll, you may send a request via the Change Request Form and we will sync it for you! In the CRF that you will be sending, provide the Department Name and Code as well as the location where the employee will be assigned so we can process the request. Please do not forget to provide the Sprout Payroll Code as well!

The error prompt appears when the Current Payroll Information tab is not accomplished. This tab contains the compensation and benefits information of the employee (Bank Details, Salary, Government Contributions, Previous Employment Details and etc) which automatically syncs to Sprout Payroll.
If this tab will not be completed upon adding the new employee, the system will fail to add the counterpart profile in Sprout Payroll. As such the Error Creating Employee in Payroll Prompt appears.
To resolve this, here's what should be done:
- In your Sprout HR Account, click Maintenance > Access Levels then select the User Level Assigned to your Profile. (Example: Super Admin)
- Click Employee Page Access
- Scroll down until you reach the Current Payroll Information Section, then click the EDITOR Access.
- Scroll up and click SAVE to apply the changes.
Then that's it! Once done, you may simply refresh the page and try adding the employee via Administration Tools again.
