You might be wondering why a prompt, "Oops! You are trying to file for overtime on a holiday. Please change the date of your overtime"? is being sent to your employee while requesting overtime throughout the holiday.
First off, please note that overtime (OT) should only be in excess of the work schedule. Furthermore, the prompt appears because the system checks the holiday type that is in effect on the specified day.
At the moment, we have three (3) different types of holidays in the system: Non-Working Holiday, Mandatory Working Holiday, and Optional Holiday.
Now let's look at how your employees can submit overtime claims based on the type of holiday used.
Non-Working Holiday
- The employee gets paid the corresponding premium if a Schedule Adjustment is applied. Then, the employees can file overtime for work done in excess of their shift.
Mandatory Working Holiday
- The Mandatory Working Holiday has a limitation on filing for Overtime. The system won't allow employees to file for overtime in excess of the required hours unless there is a Schedule Adjustment for the day.
So, here are the suggested options on what you can do so that the employees can file OT:
- The Admin may add/submit a Schedule Adjustment first on behalf of the employees then, the employee can file OT. Here's a guide: Schedule Date-Tagging: How to Add a Schedule Adjustment
- Or, upload the OT of the employees via Overtime-Bulk Upload. (How Do I Upload Mass Overtime Applications for My Team or Company?)
Optional Holiday
- The employees will no longer have to file for a Schedule adjustment for their shifts on holidays, and they will be paid the holiday premium depending on your set-up under holiday settings. However, if an employee will file for Overtime, a Schedule Adjustment is still required for the system to be able to recognize the employee's shift for the day to properly read the employee's OT time.
- The Overtime during Optional Holiday policy must be enabled to allow employees to file their overtime on a holiday (work done in excess of their shift). For more information: Overtime in an Optional Holiday on Sprout HR
