In a company, we have different types of work schedules for employees. One of which crosses one day to another or is widely known as the "Night Shift" work schedule. In this article, we'll be guiding you on how to plot a Schedule Adjustment for this kind of work schedule.
For you to understand it better below is one example of a shift that crosses over to another day:
Employee's Start Shift: 8:00 AM
Employee's End Shift: 5:00 PM
And we'll be changing the employee's schedule from 11:00 PM to 8:00 AM.
For Admin or Managers:
** For Schedule Adjustment applications that are managed by the admin/manager, these are automatically approved and as such, would no longer go through their respective approval levels.
Via Change Schedule
1. You may file Schedule Adjustment on behalf of your employee via the "Change Schedule" button under the Work Schedule tab in your employee's profile.
2. Go to the employee's profile and click on the Work Schedule tab.
3. Click the "Change Schedule" button.
4. From the dropdown choose "Schedule Adjustment"
5. You may now fill in the new schedule. The Shift Start will be 11:00 PM and the Shift End is 8:00 AM, which is technically the succeeding day. Once done hit on the "Save" button.
6. You may now fill in the new schedule. The Shift Start will be 11:00 PM and the Shift End is 8:00 AM, which is technically the succeeding day. Once done hit on the "Save" button.
7. A pop-up will show that the Schedule Adjustment has been successfully saved. Just hit on "OK" and you're done!
Via Manage Schedule
1. Simply go to My Team > My Team.
2. Tick the checkbox for the corresponding employee whose schedule will be changed.
3. Click Manage Schedule.
Note: You may select multiple employees here but they must be of the same Schedule Type. Please be advised that only one schedule will be set for them.
4. Proceed with the same steps as Items 4 to 7.
Via Bulk Upload: Schedule Adjustments
1. Under the Administration Tools menu, select Bulk Upload.
2. Scroll to the Schedule Adjustment section and download the template.
3. Input 11:00 PM and 8:00 AM as the Time Start and Time End respectively.
Note: Keep in mind of the time tagging (AM/PM). Since the shift crosses over to another day, the break should be tagged as AM.
4. Once done, upload the file accordingly.
For Employees:
Via My Request
1. First just go to "My Request" then click on "My Schedule Adjustment".
2. Click on "Add" to proceed.
3. You will be routed to the application itself, first just fill in the current work schedule of the employee then hit on the "Add Dates" button.
4. After that, scroll down and enter the new schedule of the employee. The Shift Start should be 11:00 PM and the Shift End should be 8:00 AM. Basically, this is just the same as filling for regular Schedule Adjustment the only difference is the end shift which is (8:00 AM) will be the succeeding day.
5. Once all fields are filled out, just hit on the "Apply" button.
6. A pop-up will show for confirmation, just on "Okay". Another pop-up will show that the Schedule adjustment was processed completely.
7. You will be routed to the "My Schedule Adjustments" page and the pending application will show waiting for the approval of your immediate supervisor and you're done!
Via My Stuff
1. In your My Stuff click on Apply dropdown and choose Schedule Adjustment.
2. You will be routed to the same page as Step 3 in "Via My Request". You may now follow Steps 3-7 of the "Via My Request" steps.
