Work done after the shift can usually be filed as Normal CTO so long as the employee is assigned to the Compensatory Time Off Leave Plan but with the recent enhancements done to the Compensatory Time Off functions, Sprout HR can now support filing work done before the start of the shift as Early CTO. Step 1: From your Sprout HR dashboard go to My Request > Overtimes > Add
Step 2: On the OT Classification, select Normal CTO/Early CTO. Biometric logs are required so make sure that there are clock-in and clock-out logs as well as extra hours worked after or before the selected shift date. Fill out Start and End for actual overtime hours, then click Apply.
Normal CTO application must correspond to work done after the shift schedule whereas Early CTO application would be for work done before the start of the shift schedule. For more details, you may take a look at our article here: Overtime Classifications: What are they?
Step 3: Once sent, the application can now be approved. After approval, the Early CTO or Normal CTO application should be converted into CTO Leave Credits. The conversion should be available in the leave ledger in the Employee Profile.
Approved Normal CTO conversion:
- Schedule Type: Normal Shift
- Shift Schedule: 9:00 AM to 6:00 PM with a break from 12:00 PM to 1:00 PM
- Total hours to work (including the break hours): 9
- Applied CTO: 06:00 PM to 09:00 PM
- Approved CTO Hours: 3 hours
- Biologs: 07:00 AM to 09:27 PM
Given this, the employee would have earned 3 hours worth of overtime as they would have completed their required hours to work (including the break hours) by 6:00 PM. Using the formula, the computation would be as follows:
- Overtime hours / total hours to work (excluding the break) = CTO credits
- 3 hours / 8 hours = 0.375 credits
As such, the employee will now gain 0.38 Compensatory Time Off credits. In order for them to use this, they must first file the overtime work as Compensatory Time Off.
Approved Early CTO conversion:
- Schedule Type: Normal Shift
- Shift Schedule: 7:00 AM to 6:00 PM with a break from 12:00 PM to 1:00 PM
- Total hours to work (including the break hours): 9
- Applied CTO: 07:00 AM to 09:00 AM
- Approved CTO Hours: 2 hours
- Biologs: 07:00 AM to 06:00 PM
Given this, the employee would have earned 3 hours worth of overtime as they would have completed their required hours to work (including the break hours) by 6:00 PM. Using the formula, the computation would be as follows:
- Overtime hours / total hours to work (excluding the break) = CTO credits
- 2 hours / 8 hours = 0.25 credits
As such, the employee will now gain 0.25 Compensatory Time Off credits. In order for them to use this, they must first file the overtime work as Compensatory Time Off.
