There are times when Companies would want to utilize one Leave Plan only for all the leave applications and requests of the employees and this leave type will serve its purpose. From the name itself, Multipurpose leave covers three leave types - Vacation, Sick, and Emergency Leave. So before anything else, we need to know how we can set this up from Sprout HR. You can follow the below steps:
1. Create a new Leave Type. Here's How to Create a New Leave Type and make sure to use the word "Multipurpose" on the Leave type name:
Note, if you input a different format of the Multipurpose leave plan name, for example, Multi-purpose or Multi purpose, it will not trigger the functionality to be used as Multipurpose leave. It will only be treated as the usual leave plans you create in the system.
2. Set the policies and rules for the new leave plan, assign employees, then click save. For reference, here's a guide on setting leave policies: Understanding Leave Policy Questions.
Kindly note that all the leave policies set to the plan will apply to all three leave types (Vacation, Sick, and Emergency). For example, late filing/advance filing or even the attachment required. If you enable attachments, then the employee will be required to attach files/photos even when filing for a Vacation leave.
In terms of the credits that will be set, it will be used by all three types and it's not going to be an individual or separate leave credit. If the upfront credit is 10, and you filed 1 application each, then the remaining balance will be 7.
Once done, all employees who were assigned to the plan will be able to see and use it when filing leave. So how can we maximize its purpose?
This is how it should look when an employee selects the Multipurpose leave plan:
As you can see, there's an additional functionality for the employees to choose the Leave Purpose, whether it's Sick, Vacation, and/ or Emergency, compared to when the Multipurpose leave plan name is inputted as "Multi purpose":
This is applicable to Companies that only provide the same credits to be used by the employees when they are either on Vacation, Sick, or Emergency leave and the same policies on the leave filing. So instead of Managing 3 plans, you may use the Multipurpose Leave type moving forward.
Although the employees will only use 1 leave plan, the leave type used will still be specified in both Approval Center and Leave Report whether is it Vacation, Sick, or Emergency. See the sample below:
Approval Center:
Leave Report:
Lastly, just like other Standard leave types, you can also create additional Leave plans within the same Multipurpose Leave type, and as long as you are using the correct name format, it will serve its purpose as expected. For reference, here's How to Create a Leave Plan within a Leave Type.
We hope is this helpful. Let us know if you have questions about the leave set and its usage.
