The system has two (2) ways in how Administrators can add their employees to Sprout HR.
1. Administration Tools > Add Employee (How Do I Add a New Employee via Administration Tools?)
2. Administration Tools > Bulk Upload > Employee Information (What is the Bulk Upload?)
However, please note that when Employees are added to the system via Bulk Upload, they will not receive the email notification that contains their credentials unlike when Employees are added via Administration Tools.
As for the password of the newly created profiles, you may refer to the below:
1. If manually added via Employee Profile or Administration Tools - the employee will receive the email notification along with their credentials set by the Admin. See the sample below:
2. If the employee was added via Bulk Upload - the default password will be the birthday set on the template with the format being mmddyyyy.
Note: When entering dates in the Bulk Upload Template, kindly follow your PC Date Format. For example, the employee's Birthday is October 23, 1990.
On the template, the date format is MM/DD/YYYY but your PC date format follows DD/MM/YYYY, as such, you will have to enter it as 23/10/1990 instead of 10/23/1990 so it will be recorded in the system correctly:
Given the sample above, when logging in as an Employee, your default password will be 10231900.
To add, employees may also change their password after they successfully log in to their newly created accounts. Here's the KB article: How Do I Change My Sprout HR Password?
Should the employees encounter any issues logging in to their Account, they may refer to the below KB article as a guide:
Guidelines for Logging In to Your Sprout HR Account
We hope this helps. Let us know if you have any questions.
