Certificate of Attendance (COA) replaces biologs on days when an employee either forgets or is unable to log into the system via various clock in and clock out methods.
This initiative starts with the Certificate of Attendance application page.
Employee Function
The new Certificate of Attendance application showcases a new attendance request form that has an intuitive calendar for date selection and input validations based on company policies.
Step 1: Selecting dates
To select a date on the Attendance Request Form for COA, navigate to the Attendance Dates section and click on the desired date for the application. If the application requires a date range, first select the start date and then select the end date of the application.
As dates are selected, the system will prompt advance filing and late filing errors to prevent users from choosing dates that are either too early or too late, according to the filing date policies.
Step 2: Adding IN and OUT attendance logs
After selecting the date or dates, add IN and OUT attendance logs by filling out the time for all logs per date in the Log Hours section.
Reminder prompts will be shown for the minimum and maximum logs to ensure the number of logs are within the company policies for filing COA.
Step 3: Adding Reason and Attachment
Next, provide a reason for the COA application by selecting the reason type and entering the details. Optionally, you can attach a file (JPG, PNG, PDF, or DOC) up to 5 MB in size. Depending on company policies, adding a reason is required, while attachments are optional by default.
After completing the form, click Submit to file the COA request. An email notification will be sent to the approver’s email address.
Step 4: Review CoA Application
Before submitting, review the details of the CoA request, including the Date Filed, Affected Dates, Type, Reason, Log Hours, and any attachments.
Once everything is confirmed, submit the COA request for approval according to the set approval levels. After submission, the approver will receive an email notification regarding the COA request.
