In the Knowledge-Based articles How to File for a Certificate of Attendance (COA) Application and How to File for an Official Business (OB) Application, we already discussed how you can easily file for COA and OB. This can be done via My Stuff Panel or My Request/Approvals Tab, and the request will go to your supervisor immediately.
But, what if your schedule crosses over to another day? How do you submit a COA or OB for this situation?
Here’s how!
Take a look at the sample images below as an example:
Certificate of Attendance (COA):
The Certificate of Attendance application serves as a substitute for the biometric logs. This is usually filed if there is a malfunction in the biometric device which causes an employee not to be able to use the device.
When filing a COA for a shift that crosses over to another day, you only need to enter the start and end dates of your shift as well as the correct tagging of the shift hours (AM/PM).
Now, what will happen if you enter the start and end dates of your shift as the same date?
COA is filed 05/04/2022 (IN and OUT):
The COA will be submitted but will not be reflected in the attendance because the end date is incorrect.
Reminders:
- Multiple COAs for the same day can be filed
- Includes min/max no. of logs per application policy
- Approved COA reflects in the Attendance Management.
Official Business (OB):
The Official Business application serves as documentation that the employee rendered work outside the office (e.g. Remote Work, Meetings, etc.). This also substitutes as their logs for the day.
When filing an OB for a shift that crosses over to another day, simply set the date to the actual shift date and input your shift.
Now, what will happen if you enter the start and end dates of your shift as different dates? See the sample image below:
OB is filed from 05/04/2022 to 05/05/2022:
Because the OB is in a date range, the attendance logs will be reflected for both dates.
Reminders:
- 1 OB application per day
- Include Min/Max OB days per application policy
- This does not reflect in the Attendance Management and the Admin/Manager may only view the via the Approval Center Page.
