Whenever an employee files an Overtime Application, an email notification will be sent to his/her approver. With Sprout HR, the content of this email can be customized the way you want it to be. To customize the Email Template, follow the simple steps below:
1. Under the Maintenance tab choose Email Templates from the drop-down list that appears.
2. Select Overtime and Overtime Application on the first and second row of headers, respectively.
3. Notice that there is a default email template for Overtime Application. If you want to change it, simply select all then delete.
4. Compose your desired email notification template for filed overtime applications to be sent to approvers. You are free to apply any format that you want. Also, in any part of your email, you may insert fields which will display the actual details of the filed overtime application. To do so, click on the dropdown, select from the list of fields, then click Insert.
5. Once you are done customizing your template for filed overtime application notification, click the Save button.
Once the new template was saved, the notifications received by the approvers for filed overtime applications will look like this:
Notice that there are additional links at the end of the email. These are the link to actions which approvers can take with the filed overtime application. They don’t need to log in to Sprout HR anymore: they can directly approve/reject OT or resend it for editing through the notification email.
