Not all employees know this, but whenever someone files for a Certificate of Attendance (COA), an email notification is sent to his/her approver. With Sprout HR, the content of this email can be further customized the way you want it to look.
How to do this? Well, we make it easy:
1. On the Maintenance tab, choose Email Templates from the dropdown list that appears.
2. Select COA and COA Application on the first and second row of headers, respectively.
3. Once you do this, you will notice that there is a default email template for the Certificate of Attendance (COA) Application. If you wish to change this, simply select all and then delete.
4. Compose your desired email notification template for filed COA applications to be sent to your approver/s. You are free to apply any format that you want. You may also include certain fields that show some details from your COA application. To do this, click on the dropdown arrow and select from the list of possible fields, and click Insert.
5. Once you are done customizing your email template for your COA application notification, click the Save button. Below is a sample of how you could make it look like:
Once the new template has been saved, the notifications received by the approvers for filed COA applications will look like just how you customized the email to be:
Your approvers will find a list of links at the end of the email presenting options of what can be done regarding the filing. This is convenient, as they no longer need to log in to Sprout HR, they can directly approve/reject COA or resend it for editing through the notification email. Nifty, eh?
