It is important to note that Biometric IDs should be distinct in order for the logs to appear only in their records as Sprout HR and Sprout Mobile App use the Biometric ID as identification when sending logs from the device to Sprout HR.
What happens, though, if an employee's Biometric ID is updated from an old one to a new one?
Because the biometric ID was changed to a new one, the system no longer recognizes whose employee the logs belong to, resulting in missing logs. Additionally, if there is a mismatch in biometric ID, the logs may be redirected to another employee.
Now, if you still want to assign a new Biometric ID, you can do so, but how will the logs from the previous Biometric ID be retrieved? How will the logs be recorded to the new Biometric ID?
You may follow the step-by-step guide below on what to do:
1. First, you need to revert back to the OLD Biometric ID of the Employee on his Profile and save the changes.
2. Extract all the employee's logs from his old biometric ID. Here's a guide: How to View Biologs in the Attendance Management?
3. Change the Biometric ID from Old to New in the Employee Profile.
4. Go to Administration Tools > Bulk Upload > Biologs and generate the HRIS Biologs template. Here's the KB article as a guide: What is the Bulk Upload? (Biologs).
Please note that you need to manually input all the logs extracted from the Attendance Management to Bulk Upload HRISBiologs Template. Use the New Biometric ID number.
5. Once done, upload the template.
6. Check the Attendance Management and Attendance Report to see if previous logs are already reflected in the new biometric ID. Here is a guide: How to View Attendance Report of Employees
Note:
- You need to remember that biometric logs from the old biometric ID will be retained.
- Once you transferred the previous Biometric ID to a different employee, that employee will also get the logs of the original biometric ID owner. Therefore, we highly suggest assigning unused Biometric ID. Otherwise, you have to delete the logs one by one using attendance management.
