Whenever an employee files an Undertime Application, an email notification is sent to the approver. With Sprout HR, the content of this email can be customized accordingly . To customize the Email Template, follow the simple steps below:
1. Under the Maintenance tab, select Email Templates from the drop-down list that appears.
2. Select Undertime and Undertime Application on the first and second row of headers, respectively.
3. Notice that there is a default email template for Undertime Application. If you want to change it, simply select all then delete.
4. Compose your desired email notification for filed undertime applications to be sent to approvers. You are free to apply any format you want. Also, in any part of your email, you may insert fields which will display the actual details on the filed undertime application. To do so, click on the drop-down, select from the list of fields, then click Insert.
5. Once you are done customizing your template for filed undertime application notification, click the Save button.
Once the new template has been saved, the notifications received by the approvers for filed undertime applications will look like this:
Notice that there are additional links at the end of the email. These are the links to actions which approvers can take with the filed undertime application. They don’t need to log in to Sprout HR any longer: they can directly approve/reject undertime or resend it for editing through the notification email.
