Some Attendance applications require an attachment from an employee for the approver's reference of the application or to validate before approving the application.
However, some approvers might encounter the error wherein they are routed to another page that says "Access Denied" just like the sample below when they access the attachment from the employee's application.
No worries, as this article will help you resolve this!
The reason why an approver is getting the "Access Denied" prompt is that the employee who owns the application does not belong to the Employee Viewing access the approver has. To know more about Employee viewing, you may check this: What Is Employee Viewing? (Access Levels).
To better understand this, we have added scenarios/ examples below:
Scenario 1
Approver 1 - Immediate Supervisor of Employee 1 and has a Direct Report employee viewing access level
Approver 2 - Second Level Approver of Employee 1 and has a Direct Report employee viewing access level
Employee 1 - the owner of the application and directly reports to Approver 1 only
Employee 1 submitted an application with an attachment which goes directly to his Immediate Supervisor, Approver 1, and approved it.
It goes now to Approver 2 and when he accessed the attachment, he encountered the error because his Employee viewing is only direct reports and he is trying to access an application attachment of an employee who is not part of his direct reports.
Scenario 2
Approver 1 - Immediate Supervisor of Employee 1 and has an employee viewing that is specific to Rank and File (employee type) only
Employee 1 - the owner of the application, directly reports to Approver 1 and has a Manager employee type (How to Assign Employee Type in Sprout HR?).
When Approver 1 tried to access the attachment of the application, he will encounter "Access Denied" because his Employee viewing is only for Rank and File and he is trying to access an application attachment of an employee who has Manager Employee type.
To resolve this the employee viewing access level of the Approver have to be updated to make sure the Approver will cover the employee who owns the application with his Employee viewing access. For reference, here's How to Edit an Existing Access Level.
