Sprout HR has the option to deactivate Leave Plans that are no longer needed to keep your Leave Plan list organized and to avoid confusion as well to the users.
But, let us learn what are the effects if we deactivate a certain leave plan in Sprout HR so we can be prepared before doing so.
- The Leave Transaction Report and Leave Summary Report will not be tallied as only active Leave Plans will continuously be updated under the Leave Summary Report. while the Leave Transaction Report will display the latest transaction before the Leave Plan was deactivated.
- Leave Plan and history will no longer be visible in the employee's profile under Leave Plans and Usage.
- The employees can no longer use the leave plan to file for a Leave Application.
- All pending applications under the deactivated Leave Plan can no longer be approved. The approver will encounter this kind of error, please see the sample image below:
- All Approved Leave Applications can still be seen in the Approval Center and be edited and canceled. Once Edited, this prompt will appear:
- Please note as well that if the Deactivated Leave Plan is under Standard and Default Leave Plan all other Leaves under those Leave Plans will also be deactivated as they are only under one umbrella.
- Lastly, if there are multiple Leave Plans under one umbrella, you can only delete them and can no longer be reinstated unless you will be creating them again. Unlike the deactivated Leave Plan, they can be reinstated by re-activating the Leave Plan.
Given that, you will have to do the following to avoid any error on your end:
- Download the Leave Report and remaining leaves of the employees for reference.
- Approve all pending leave applications before deactivating them.
