When plotting a schedule for an employee, one of the items to take note of is what would be the earliest and latest logs that they could make for it to appear in the Attendance Report. This is most commonly called the pre-shift and post-shift thresholds, but did you know Inner Thresholds can also affect the non-appearance of their logs?
We already know what Pre-Shift and Post-Shift Thresholds are, but if you need a refresher, here's an article that may help: How Do Pre-Shift & Post-Shift Thresholds Work?
Like with the other thresholds, the inner threshold is an added validation to ensure that the logs will reflect on the Attendance Report. By default, it is set up as follows (for all schedule types):
Latest IN: 7 hours after shift start
Earliest OUT: 8 hours and 45 minutes before the shift end
* Note: This is different from the latest In and earliest Out for the core hours for Flexible per Day employees.
Now you're probably wondering how this goes, but don't worry as we have some sample scenarios for you!
Scenario 1: Normal Shift Schedule Types (based on shift hours)
Shift Schedule: 8:00 AM - 5:00 PM (1-hour break)
Given the employee's shift schedule, the system will only be able to read logs tagged as IN from the Shift Start until the 7th hour (from 8:00 AM to 3:00 PM). Additionally, only the logs tagged as OUT made from 8 hours and 45 minutes before the Shift End will be read (from 8:15 AM to 5:00 PM).
Aside from Normal Shift Schedules, this is also applicable to other types except for Flexible per Day (which will be discussed in a later scenario).
What happens if they clock in or out beyond this?
Logs | Attendance Report | Reason for non-reflection
Sample 1 |
IN: 8:00 AM (exactly on start of shift) OUT: 8:14 AM |
1 day absent, No Logs in Attendance Report | The Log Out doesn't fall within the earliest Out allowable |
Sample 2 |
IN: 8:00 AM OUT: 8:15 AM |
1 day absent but logs will reflect in the Attendance Report | N/A |
Sample 3 |
IN: 3:00 PM OUT: 5:00 PM |
1 day absent but logs will reflect in the Attendance Report | N/A |
Sample 4 |
IN: 3:01 PM |
1 day absent, No Logs in Attendance Report | The Log In doesn't fall within the latest In allowable |
**Note: This is assuming that they do not have any other logs aside from the ones indicated in the samples.
Scenario 2: Flexible per Day Schedule Types (based on core hours)
Core Hours Schedule: 10:00 AM - 2:00 PM (1-hour break)
Given the employee's shift schedule, the system will only be able to read logs tagged as IN from the Core Start until the 7th hour (from 10:00 AM to 5:00 PM). Additionally, only the logs tagged as OUT made from 8 hours and 45 minutes before the Core End will be read (from 5:15 AM to 2:00 PM).
What happens if they clock in or out beyond this?
Logs | Attendance Report | Reason for non-reflection
Sample 1 |
IN: 5:00 AM (falls within pre-shift threshold) OUT: 5:14 AM |
1 day absent, No Logs in Attendance Report |
The Log Out doesn't fall within the earliest Out allowable |
Sample 2 |
IN: 5:00 AM (falls within pre-shift threshold) OUT: 5:15 AM |
1 day absent but logs will reflect in the Attendance Report | N/A |
Sample 3 |
IN: 5:00 PM OUT: 2:00 AM (falls within post-shift threshold) |
1 day absent but logs will reflect in the Attendance Report | N/A |
Sample 4 |
IN: 5:01 PM OUT: 2:00 AM (falls within post-shift threshold) |
1 day absent, No Logs in Attendance Report | The Log In doesn't fall within the latest In allowable |
**Note: This is assuming that they do not have any other logs aside from the ones indicated in the samples.
