It's not unusual for an employee to depart from a company, and when an employee would resign, the first thing to do would be to update their employment status and set a separation date on their Employee Profile on Sprout HR. How can this be done? Just follow the steps below:
1. Go to their Employee Profile and select the Work Information tab.
2. Select Resigned (or Terminated) from the dropdown list of the Employment Status field.
3. A pop-up will appear where you will input the employee's reason for leaving as well as the separation date.
Note: For the separation date, please put one day after the employee's last day of work
e.g. the employee's resignation date is on June 27, 2019. On the Separation Date field, please put June 28, 2019.
4. Once the Employment Status and Separation Date have been set, you may click the Save button.
A few reminders:
- Once it has passed the separation date, you will no longer be able to generate reports (Leave Report, Overtime Report, etc.) and attendance applications (Leave, COA, OB, etc.) concerning this employee. Should you wish to view these after the separation date, you would have to set the Employment Status to Probationary first before generating the reports and applications of the employee.
- You may still be able to generate an Attendance Report for this employee by ticking the Resigned or Terminated option in the Attendance Report page
There you have it! You have successfully updated a resigned employee's profile! Pretty simple, wasn't it?
