Re-hiring employees means that prior to the said re-hiring, they have already been a part of your company, and therefore have an account under their names on Sprout HR. However, they have already been marked as terminated or resigned in these profiles. How then, do we reflect them properly on Sprout as active, regular employees? Here's how:
1. Rename the old employee profile to ensure that the new profile to be created is a new and different profile. For instance, if the name is John Santos, then it can be renamed to "John Santos-1" or John Santos-Original Profile".
2. Also, dummy IDs in the Government Information tab (TIN, SSS, PHIC, and other government IDs) should be assigned to the old employee profile since the system will only allow one unique government IDs per Sprout HR URL. The correct details must then be assigned to the new employee profile. The same would be done for the Primary Contact Number under the Contact Information tab.
3. After renaming the old profile and assigning a dummy TIN, you can now create a new profile with the correct name - Joan Santos, and the correct TIN. This can be done under Add Employee on the Administration tools tab on your dashboard.
Why is this necessary? These steps should be done since the system won't accept different profiles referring to the same employee name. This also ensures that the correct data will reflect upon re-hiring --this includes correct information on the re-hired date, and proper accrual of leave credits based on the re-hire date among other things.
It would also be advisable to register the re-hired employee with a new biometric ID so that her logs before she was re-hired will not be considered and reflected as part of the attendance.
